VidFlock helps organizations collect, process, edit, and share video and other responses from participants.

This Privacy Policy explains what information we collect and how we use it.

What we collect

When you use VidFlock, we may collect:

  • your name, email address, or other information you provide;

  • video and audio recordings;

  • photos and written responses;

  • your answers to campaign questions;

  • transcripts and captions generated from your recordings;

  • technical information such as device type, browser, IP address, and usage data; and

  • information generated while processing or editing your submission.

How we use your information

We use information to:

  • record and process your submission;

  • transcribe, caption, edit, and render videos;

  • provide your response to the organization that invited you to participate;

  • operate, secure, troubleshoot, and improve VidFlock;

  • prevent misuse; and

  • comply with legal obligations.

As described in our Terms, VidFlock may also use submitted Content in its own marketing, advertising, demonstrations, case studies, portfolio, website, social media, and sales materials.

Who receives your content

Your submission is generally collected for the Campaign Organization that invited you to participate.

That organization may publish or distribute your Content as described in the Terms and any instructions provided with the campaign.

We may also share information with service providers that help us operate VidFlock, including providers of hosting, storage, video processing, transcription, artificial intelligence, analytics, communications, and security.

We may also disclose information where required by law or necessary to protect VidFlock, our users, or others.

Public content

If your submission is published publicly, other people may copy, download, repost, or share it.

VidFlock cannot control all copies after Content has been made public.

Sensitive information

Please do not submit passwords, Social Security numbers, full financial account information, medical records, or other highly sensitive information unless a campaign specifically requests it through an approved process.

VidFlock is not intended to receive protected health information subject to HIPAA unless we have expressly agreed to support that use.

Biometric information

Video and audio recordings contain your image and voice, but that does not necessarily mean VidFlock is collecting legally regulated biometric information.

If VidFlock uses technology that requires separate biometric notice or consent, we will provide that notice and obtain any consent required by law.

Data retention and deletion

We keep information for as long as reasonably necessary to operate VidFlock, provide services to Campaign Organizations, comply with legal obligations, and maintain appropriate records.

You may request deletion of information held by VidFlock by emailing privacy@vidflock.com.

Deleting information from VidFlock may not delete copies already provided to the Campaign Organization, publicly shared, downloaded by others, or retained where legally required.

Children

VidFlock is generally intended for people age 18 and older unless a campaign has an approved parent or guardian consent process.

Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or object to certain uses of it.

Changes

We may update this Privacy Policy from time to time. The current version will always include the latest Effective Date.
